Data minimisation

THE SHORT VERSION

Data minimisation means collecting and using personal data that is adequate, relevant and limited to what is necessary for the purpose.

Data minimisation means collecting and using personal data that is adequate, relevant and limited to what is necessary for the purpose.

Data minimisation is the principle that personal data should be adequate, relevant and limited to what is necessary for its purpose. The ICO advises organisations to identify the minimum information needed and hold no more than that. Source: ICO: data minimisation

Apply it to a travel enquiry

Before adding a field to an enquiry form, write down why the information is needed at that stage. For example, distinguish the information needed to discuss a trip from details a supplier may require later to complete a booking.

This is a suggested review method, not a claim that every travel business needs the same fields. Base the decision on your service and the actual requirements involved.

A practical check

For each field, record its purpose, whether it is required and who needs access. Remove or redesign fields that have no justified use so the form reflects the task the customer is completing.

Review message templates as well as forms. A reminder should contain the information needed for that reminder, with sensitive details handled through an appropriate process.

The ICO marks this guidance as under review following the Data (Use and Access) Act 2025. Check its current advice when reviewing your practices. Source: ICO: data minimisation
