Workflow automation uses software to carry out part or all of a defined process, often following rules, triggers and approval steps.

Workflow automation uses software to perform part or all of a process that would otherwise involve manual tasks. It can follow rules and move work through defined steps. AI can be included, but a workflow does not need AI to be automated. Source: IBM: Workflow automation

Write the process before choosing the tool

For a new enquiry, specify the trigger, required details, assigned adviser and next task. Mark any step needing approval. This gives the team a shared description to test against when the workflow is built.

Check repeats and failures

Submit a test enquiry twice and try one with missing information. Check whether the system creates duplicate work, records the problem and alerts the right person. Agree how to pause and restart the process so the team has a practical recovery route.
