THE SHORT VERSION

A standard operating procedure, or SOP, is a written set of instructions for carrying out a recurring task in an agreed way.

A standard operating procedure, or SOP, is a written set of instructions for carrying out a recurring task in an agreed way.

An SOP documents how to carry out a repeatable process. It sets out the steps and responsibilities so colleagues can follow an agreed method. Asana’s guidance describes using procedures to give teams a consistent reference for routine work. Source: Asana: Standard operating procedures

Write for the person doing the task

Choose one process, such as handling a supplier schedule change. Record the trigger, information needed, responsible person, steps and escalation route. Explain how completion is recorded. This gives a colleague enough context to act without reconstructing the process from old messages.

Test it with a colleague

Ask someone who did not write the procedure to walk through a suitable example. Note where they need clarification, then revise the document and add an owner and review date. This checks whether the instructions work in practice and establishes responsibility for keeping them current.
