THE SHORT VERSION

A room night measures one hotel room occupied for one night, regardless of how many people share that room.

A room night measures one hotel room occupied for one night, regardless of how many people share that room.

The HVS valuation manual hosted by eCornell defines a room night using one occupied room for one night, with one or more people in it. It is a unit of lodging demand. Two rooms occupied for three nights each represent six room nights. Source: HVS: Room night definition, page 9

Separate rooms from people

Keep room counts, night counts and guest numbers in separate columns when reviewing a group itinerary. Calculate each room’s nights before adding the total. This makes the accommodation requirement clear without treating a person and a room as interchangeable units.

State what the total represents

Label a report to show whether it concerns booked, occupied or available room nights and include the date range. Agree how cancellations are handled. This gives a colleague the information needed to interpret the number and compare it with another report.
