Payments
THE SHORT VERSION
A virtual card uses a card number generated for digital use and linked to an underlying funding account. Mastercard describes business virtual cards with controls over spending and where or when a number can be used. Uses include supplier payments and business travel. Source: Mastercard: Virtual cards
Agree the supplier payment details
Before arranging a virtual card payment, confirm acceptance, the charge amount and the permitted payment date with the supplier. Check how the booking reference will be passed through. This helps the supplier take the intended payment and the finance team identify it afterwards.
Test changes as well as the first charge
Ask the provider how to handle an amended amount, a failed payment and a refund. Run those cases in the agreed test process before wider use. The results give staff a practical procedure when a booking changes after the original card was created.
